PROGRAM ASSISTANT 2, Lemelson/MIT Program (LMIT), to provide administrative support for the executive director, including drafting correspondence to key constituencies, potential funders, or other partners; assisting with scheduling; coordinating meeting logistics and conference calls; tracking data related to programmatic activity and key contacts; and assisting with the preparation of presentation materials and meeting handouts. Will also conduct routine research, gather and compile data, and assist with creating materials that support outreach to key constituents; assist with the development of grant applications, including tracking opportunities and key deadlines, developing estimates for budgets, and gathering application data and documents from partners; support LMIT’s marketing and communications efforts by helping to manage collected data and mailing lists; conduct web research on potential LMIT Student Prize applicants, assist with outreach for the annual Student Prize program, and assist with coordinating the screening and judging process for both awards programs, including scheduling meetings and coordinating logistics; provide back-up on general office administration as needed; and assist with coordinating logistics for LMIT’s annual signature event, EurekaFest. May attend meetings/conference calls and provide notes on proceedings and follow-up.
REQUIRED: high school diploma; three years’ related administrative and financial experience; strong communication, organizational, interpersonal, customer service, and time-management skills; flexibility; ability to prioritize, handle multiple tasks simultaneously, meet deadlines, and work independently and as part of a team; full working knowledge of general office practices/procedures; attention to detail; good judgment with confidential information; proficiency with Microsoft Office, Google Docs, Dropbox, and web searches; interest in data analytics; and experience managing data, in Excel at a minimum.
