FINANCIAL ASSISTANT, MIT Museum, to provide support to the associate director and store manager, processing earned income and serving as approver of all P-card purchases. Museum Store responsibilities include approving purchases made with inventory P-card and filing invoices; verifying cash deposits and adjusting entries as necessary; preparing weekly cashier’s report; verifying credit card deposits for revenue processed through admissions desk; creating check requisition for merchandise payments made by check; reconciling statement for inventory P-card to SAP; confirming revenue from credit cards is deposited into SAP; reconciling UPS bill, authorizing payment, and researching vendor identification to process payments; preparing monthly sales tax report and monthly and YTD operating statements; performing all tasks associated with closing the store operating account; and creating fiscal year operating statement. Visitor services duties include taking biweekly deposits, replenishing change bank, ordering new equipment for transaction processing, following up with merchant services and/or CyberSource for income due, and tracking incoming funds from partner vendors. Will also approve all P-card purchases, assist with oversight of the merchant services accounts, and liaise with merchant services to resolve any issues. Will report to and meet regularly with the associate director and meet weekly with the store manager.

REQUIRED: a minimum of two years of financial or accounting experience; excellent communication, organizational, analytical, and time management skills; attention to detail and excellent follow-through; and strong accounting skills. A bachelor’s degree in a relevant fields; proficiency with Microsoft Office (especially Excel); familiarity with both retail and university accounting and purchasing systems; and experience with MIT’s financial software (SAP) are preferred.
