Posting Description

ADMINISTRATIVE ASSISTANT 2, Mechanical Engineering, to provide comprehensive support to 3 - 4 professors under minimal supervision. Will assist with preparation and organization of course materials; respond to a broad range inquires; resolve problems in a thorough and timely manner; compose and edit correspondence and other documents; order supplies and equipment following budgets; match invoices to packing slips; validate deliveries; process journal vouchers, requisitions and purchase orders; work closely with financial staff to monitor and reconcile account statements; assist with budget management activities such as record keeping and data entry; schedule diverse and complex appointments, meetings, and travel arrangements; coordinate high profile events; gather information and submit requests for appointments within faculty research labs; and other duties as assigned.

Job Requirements

REQUIRED: High School education or equivalent; a minimum of three years administrative, office, or related experience; excellent interpersonal and communication skills and the ability to work effectively with people at all levels; excellent organizational and word processing skills, including ability to handle multiple tasks simultaneously; ability to work independently as well as part of a team; ability to prioritize and problem solve; experience with arranging travel, paying invoices, ordering supplies, account reconciliations and expense reimbursements; proficiency in the Microsoft Office Suite; and experience updating websites; and willingness to learn new software. PREFERRED: Bachelor’s Degree.
