Posting Description

ADMINISTRATIVE ASSISTANT TO THE KNOWLEDGE SERVICES & ACCESS DIRECTORATE, Libraries, to support the Associate Director for Knowledge Services & Access (KSA) and three KSA departments. This role ensures smooth day-to-day and long-term operations by managing complex calendars, coordinating meetings, and maintaining documentation and internal websites. Responsibilities include facilities coordination, onboarding support, workflow and file management, and participation in committees or projects; handling financial and procurement tasks such as monitoring expenditures in SAP/Cognos, processing reimbursements, reconciling accounts, supporting travel, and generating reports; providing meeting and event support; preparing presentation materials; and troubleshooting basic technology.

Job Requirements
REQUIRED: High school diploma or equivalent; a minimum of three years of related experience; strong computer skills, including Google Docs, Word, Excel, PowerPoint, and Outlook, and the ability to learn new systems; demonstrated ability to communicate effectively, manage competing priorities, and work independently in a fast-paced environment; excellent organizational, analytical, and problem-solving skills, with strong attention to detail and follow-through; ability to maintain discretion and to work effectively with diverse groups, including senior leadership.
Must be able to lift up to 25 pounds and move across campus as needed. PREFERRED: Associate’s or Bachelor’s degree or equivalent experience; customer service experience; familiarity with academic or library environments; and experience with SAP, Concur, Coupa, and basic AV technology.
