Posting Description

ADMINISTRATIVE ASSISTANT, MITIMCo, will support the Operations team and Chief Financial Officer; take initiative to resolve problems; interpret policies and collaborate with colleagues; synthesize, evaluate, and communicate information clearly; evaluate tasks and processes efficiently; schedule internal and external meetings with varying complexities and multiple resources; respond to internal and external inquiries; schedule complex travel; process expense reimbursements; support development activities for teams and all of Operations; assist with document and presentation preparation; partner with peer Administrative Assistants to carry out Operations accounts payable process including creating requisitions, maintaining purchase orders, submitting invoices, and tracking spending in MIT’s accounting system; coordinate the annual budget process; and support annual processes involving departments across Operations, such as annual policy manual revisions and logging incidents for compliance reviews.

Job Requirements

REQUIRED: Excellent organizational and communication skills (written and verbal); minimum five years administrative or related work experience; demonstrated ability to resolve complex problems in a timely manner with attention to detail and determining a course of action with minimal supervision; ability to set priorities and manage multiple activities at once while dealing with frequent interruptions; effectively adapt approach across a variety of communication styles; desire to give and receive feedback and operate with a growth mindset; deal with confidential information using tact and discretion; balance detail orientation with big picture thinking; comfort interacting with high-level executives; and ability to work from Cambridge, MA office. PREFERRED: Bachelor's Degree.
