Posting Description

COORDINATOR, PLANNING AND RESOURCE MANAGEMENT, OER, Sloan Office of External Relations, serves as the central administrative and financial resource for the Office of External Relations (OER), ensuring efficient and effective daily operations. Reporting to the Senior Associate Director, this role oversees budgeting and financial processes, including reconciliation and transaction processing, and provides financial reporting to leadership. Assisting with office operations, the coordinator handles procurement, technology needs and facilities coordination. The role manages a rotating coverage schedule for shared office functions (e.g., phone lines, mail), ensuring consistency and responsiveness. The coordinator plays key roles in onboarding/offboarding, tracking changes, and disseminating policy updates. They also coordinate cross-training, assess resource constraints, and recommend process improvements to enhance operational efficiency. Regular collaboration with departments such as Finance, Procurement, HR, and IT is essential, as is assisting with admin team meetings and ensuring alignment on policies and procedures. The coordinator supports departmental meetings, retreats, and special events, managing logistics and other projects as needed.

Job Requirements
REQUIRED: Bachelor’s degree and a minimum of two years of relevant experience in accounting or finance, preferably in a higher education, nonprofit, or similarly complex environment; strong analytical skills, particularly in budgeting and financial reporting; proficiency in Excel and other Microsoft Office tools; excellent written and verbal communication skills; a customer service mindset and the ability to work effectively with diverse stakeholders; discretion with sensitive information; and the ability to prioritize and manage multiple tasks in a dynamic, fast-paced environment; have a proactive, problem-solving attitude and a commitment to supporting team success. PREFERRED: Familiarity with enterprise financial systems (e.g., SAP) and collaboration tools (e.g., Trello, Zoom, Tableau); experience with procurement and facilities coordination; and the ability to identify and implement improvements to systems and workflows.
