Posting Description

ADMINISTRATIVE ASSISTANT 2, Koch Institute (KI) for Integrative Cancer Research, to provide complex and diverse administrative support to KI Faculty and their labs and participate in community-wide initiatives overseen by KI Administration. Responsibilities include providing a range of advanced administrative support to the Faculty members, acting as gatekeeper and primary point of contact, exercising discretion while managing requests for information and access; managing complex calendars and coordinating high volume scheduling, including internal and external meetings, conferences, professional engagements, and travel for the Faculty; and ordering supplies.

Job Requirements

REQUIRED: Bachelor’s degree or an equivalent combination of experience or education; a minimum of five years of administrative, office, or related experience; experience with and ability to handle sensitive and confidential information and situations; strong interpersonal skills, excellent verbal and written communication; demonstrated outstanding customer service; must be able to interact and communicate with a wide range of individuals at all levels, internal and external, including administrators, faculty and students, as well as donors, grant organizations and high-level contacts; keen attention to detail in preparing materials and tracking of all aspects of programs and events; must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands; able to work both independently and as a team member with minimal supervision; exercises critical thinking and sound judgment in prioritizing tasks, resolving problems, and making recommendations; demonstrated poise, tact and diplomacy; use independent judgment regarding administrative issues impacting the faculty and labs; must be proactive by anticipating and initiating actions regarding operations; excellent organizational, time management, and tracking skills; advanced knowledge of MacOS and a variety of computer software applications; committed to promoting community and our values at the KI.
