Job Description

ADMINISTRATIVE ASSISTANT 2, MIT Health, to assume a highly visible role responsible for a number of complex and diverse administrative duties.  Will support key members of the service area’s leadership; prioritize, sequence, and execute administrative tasks, including managing the clinic’s master and on-call schedules, after-hours protocols, and provider and potentially other staff requests for vacation and other time off requests; onboard new hires; handle provider seminar and conference administrative tasks, including travel arrangements; perform event planning; draft department-wide communications using the voice of each author; assemble complex data for the principals to present in the form of tables, charts, and PowerPoint slides; and day-to-day management of administrative calendars for service area leadership.  Will also act as the service area’s master scheduler, coordinating more than twenty individual providers.  This will involve establishing the core clinical schedule from which all patient appointments are booked, and coordinating provider clinical obligations and facilitating the compiling of these obligations and constraints into a single scheduling template.

Job Requirements

 REQUIRED:  high school diploma or its equivalent; three years’ administrative experience; discretion, tact, and sound judgment with confidential information; excellent organizational, problem-solving, customer service, interpersonal, and verbal and written communication skills; meticulous attention to detail and accuracy; proficiency with Microsoft Office; and comfort with everyday office technology and programs.  Must be able to take initiative, work autonomously, and make independent decisions; set priorities, manage multiple tasks simultaneously, and bring projects to completion within established timeframes; and collaborate and interact effectively with a wide range of individuals.  Job #24169-5
