ORDER FULFILLMENT ASSISTANT, MIT Press, to process department mail, enter orders into the fulfillment system database, and generate daily fulfillment files; enter bookstore/newsstand orders, payments, and returns; and provide basic customer service. Responsibilities include opening and sorting mail; processing payments; entering orders and invoices into fulfillment system; balancing each batch to verify payments were entered correctly; reviewing and processing web orders; balancing and recording daily credit card charges; returning duplicate payments, foreign checks, unidentified checks, etc.; processing bounced checks; contacting customers with questions about orders and payments; sending receipts, gift letters, and order and price information; entering subscriber address changes; cancelling subscriptions in fulfillment system; processing refund check requests through SAP; reviewing subscriptions identified as potentially fraudulent or suspended; answering bookstore/newsstand/distributor inquiries, sending order forms, promotional material, etc.; receiving and applying bookstore and distributor payments; processing standing orders, creating packing slips, and sending to vendor; processing returns and issuing credits sending monthly statements, contacting customers when payment is overdue; maintaining trade sales database and customer lists; providing backup telephone support for Customer Service Department; and performing other duties as needed.
REQUIRED: high school diploma or its equivalent; at least two years’ order entry experience and/or providing fulfillment support by telephone/fax/email; working knowledge of Windows, MS Word, Excel, Outlook or other email program, and Internet Explorer or other web browser; excellent organizational, interpersonal, and oral and written communication skills; ability to switch between tasks, work quickly and accurately under pressure, and function both independently and in a team-oriented environment; and discretion and good judgment with confidential information/issues.
