ADMINISTRATIVE ASSISTANT II, SOLVE, to perform a variety of administrative duties. Will provide scheduling and calendar management in support of the executive director; schedule Solve leadership, strategy, and all-staff meetings; prepare meeting-related presentation decks and agendas, take notes, and handle set-up; plan and execute events, including catering; manage executive director’s e-mail; prepare briefing documents and talking points for event appearances and talks given by the executive director; assist with basic office operations, including creating requisitions and POs and supporting HR staff as needed; maintain office supplies; prepare office for external meetings, greeting and welcoming attendees; answer telephones; update contacts in Salesforce; prepare expense reports and reimbursements, collect and organize receipts, learn and maintain knowledge of MIT’s expense and reimbursement policies and procedures; support the finance and operations director with vendor requisitions, creating and updating POs, and collecting and filing vendor and contractor paperwork; coordinate domestic and international travel; support the events program director with event and office related operations as necessary; and perform other duties as needed.
REQUIRED: at least three years’ experience in an executive assistant or similar role; strong interpersonal, verbal and written communication, and teamwork skills; self-motivation; flexibility; meticulous attention to detail; ability to manage multiple projects simultaneously, take initiative, and function effectively under pressure; high-level proficiency with Excel, PowerPoint, and Microsoft Office; proven ability to manage registration platform, online form tools, and CRM databases such as Salesforce; flexibility; ability to work independently; and discretion with confidential information.
