EVENTS ASSOCIATE, Technology Review (TR), to support all domestic TR-branded conferences and custom events, interacting with a range of stakeholders, including leaders in business, government, and academia. Responsibilities include supporting day-to-day logistics for TR events (e.g., venue reservations, hotel bookings, audiovisual production, catering, and special print and supply orders), advising on and adhering to key dates and deadlines, and liaising with on-campus and external vendors; assisting with management of event sponsorship fulfillment, ensuring pre- and post-event commitments are executed by TR and partners; collaborating with colleagues on confirmed speaker onboarding, i.e., collecting details for internal and public-facing documents, tracking deliverables, communicating local and onsite arrangements, and providing additional speaker support as needed; managing event registration from creation through live event, e.g., online registration pages, special invitations, attendee emails/reminders, payments, and post-event correspondence; creating and managing sales and marketing materials; creating and maintaining reporting such as revenue, demographics, post-event digests for sales and marketing purposes, and other information as requested; and managing general customer service for events and responding to event inquiries.
REQUIRED: at least three years’ experience producing complex professional events; comfort using web-based software and smartphone platforms; high-level organizational skills; detail-orientation; and strong verbal and written communication skills. Must be able to multitask, prioritize, work on several high-level projects in parallel, and manage time against deadlines; work with a broad range of stakeholders and vendors at all levels; work both independently and as an effective team member. B.S./B.A. preferred, as are familiarity with MIT event planning and purchasing processes and expertise with registration platforms such as RegOnline and Eventbrite, Smartsheet, and Adobe Photoshop.
