Posting Description

GRADUATE RESEARCH FELLOWSHIP ADMINISTRATOR, Office of Graduate Education, will serve as an alternate NSF GRFP Coordinating Official (CO) for the Institute and acts as the primary, day-to-day point of contact for Fellows, MIT administrative staff and faculty, and the NSF GRFP Program Office; be responsible for advising, financial oversight, administration, and outreach functions that are both MIT- and NSF-facing; work closely with OGE staff, academic departments, Research Administrative Services (RAS), the Vice President for Finance (VPF), and the Vice President for Research (VPR) to ensure compliance with financial reporting and program requirements; review, approve, and certify GRFP Fellow requests, rosters, and progress reports in compliance with NSF policies; coordinate grant renewal every five years and prepare the GRFP Program Expense Report with VPF; ensure accuracy of financial reporting, conduct quarterly salary reviews, and reconcile discrepancies; advise Fellows and MIT staff on program policies, procedures, and compliance with MIT systems such as GAP; monitor accounts, oversee invoicing, and supervise daily financial operations; communicate program changes, produce annual guides, and coordinate application support and professional development programming; and support additional fellowships and sponsored agreements as needed. The National Science Foundation Graduate Research Fellowship Program (NSF GRFP) is MIT’s largest external fellowship, supporting more than 600 Fellows annually.

Job Requirements

REQUIRED: Bachelor’s degree in finance, accounting, or education administration; a minimum of three years of relevant experience, grants or fellowship administration preferred; strong financial, organizational, and communication skills; knowledge of MIT financial systems, GAP, or government agencies; and ability to exercise discretion, initiative, and judgment in a busy, confidential environment.
