Posting Description

ADMINISTRATIVE ASSISTANT II, Kavli Institute for Astrophysics and Space Research (MKI), to provide complex and diverse administrative support to members of the Laser Interferometer Gravitational-Wave Observatory (LIGO) group, including faculty and their research groups, research and technical staff, postdoctoral scholars, graduate students, and visitors; act as the primary source of information for the LIGO group about MIT policies and procedures, along with coordinating policies and procedures of Caltech and the LIGO remote observatories in Washington and Louisiana as needed; coordinate domestic and international travel and lodging accommodations; process purchases, shipments, and reimbursements; calendar management; schedule and coordinate meetings and events, manage event logistics such as venue selection, room reservations, and catering; and assist in preparing classroom materials.

Job Requirements

REQUIRED: High school diploma or its equivalent; a minimum of three years of experience in an administrative support or related position; excellent interpersonal, communication, and organizational skills; ability to multitask, set priorities, and work efficiently despite interruptions in a fast-moving and evolving research environment; and a proactive approach to identifying problems and finding solutions. PREFERRED: MIT administrative experience and proficiency with SAP, MS Word, Excel, PowerPoint, FileMaker Pro, and Acrobat.

This position requires in-person attendance 4 days per week, with one flexible day to work off-campus on a regular schedule. May need to accommodate some packages using the outdoor Algo Phone system on weekends and holidays.
