Posting Description

ADMINISTRATIVE ASSISTANT 2Earth Atmospheric and Planetary Sciences (EAPS) to provide high-level administrative support to faculty and research groups, including complex travel coordination, reimbursements, and event planning; manage procurement, credit card transactions, and research grant reconciliations; support office and lab operations by ordering supplies, coordinating shipments, and overseeing space assignments, signage, and facility work orders; assist with field trips and workshops involving internal and external collaborators; maintain common areas, update websites, and schedule appointments for faculty and visitors; liaise with HR on onboarding logistics and support department-wide initiatives in collaboration with the EAPS Headquarters team; and perform special projects and other administrative duties as assigned.

Job Requirements

REQUIRED: High school diploma or equivalent with a minimum of three years of experience in a fast-paced office environment; proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); solid communication skills; the ability to adapt quickly to new software and systems; highly organized, detail-oriented, and capable of managing multiple priorities under tight deadlines; demonstrated ability to work both independently and collaboratively, with sound judgment and problem-solving skills; a self-starter who takes initiative and maintains a high level of accuracy.
