Posting Description

FINANCIAL ASSISTANT II, Biology, to support a large portfolio of faculty research funds and special programs. Research portfolio includes federal, industry, foundation, and MIT funds and assignment of research portfolios, and special projects is rotated periodically to build a broad base of knowledge and experience. Will be responsible for account set-up to close-out and include conducting monthly financial reviews ensuring compliance with departmental and institutional guidelines; authorizing expenditures; reviewing and verifying travel reports, RFPs, requisitions, invoices, and credit card transactions; overseeing expenditures; assisting financial officers to develop monthly forecasts and participating in meetings with faculty principal investigators (PI); preparing procurement documents; reconciling accounts; auditing account activity, identifying and resolving discrepancies; processing journal vouchers as needed; maintaining files including records of transactions and relevant financial correspondence; serving as liaison with other department staff, faculty PIs, lab members, vendors, and MIT central offices and providing support and guidance to department staff on purchasing procedures and the proper completion of financial documents.

Job Requirements

REQUIRED: High school diploma or equivalent; at least three years of financial experience, preferably in an academic environment; experience with database and spreadsheet software, preferably FileMaker or QuickBase, and Excel; demonstrated aptitude for learning new software and processes; initiative; excellent organizational, interpersonal, and communication skills; attention to detail; ability to manage a variety of tasks concurrently, research and resolve discrepancies, work independently and as part of a team, and remain adaptable as situations demand; and discretion and diplomacy with confidential information and issues. PREFERRED: Bachelor’s degree; knowledge of standard federal regulations and major agency guidelines; and experience with MIT financial systems, particularly B2P/Coupa, Cognos, Concur, and SAP/SAPgui.
