Posting Description

ADMINISTRATIVE ASSISTANT 2, Department of Chemical Engineering, to provide administrative support to several faculty members and their research groups including event planning support (including in-person and virtual events), specifically, in support of the Department’s academic year seminar series. Serve as the main point of contact for general inquiries and class materials preparation including lecture note posting, scanning, printing, and filing for organized retrieval in both electronic and printed formats. Assist in coordinating all class related activities such as classroom booking and preparation, catering orders, exams coordination, and other tasks as needed. Make domestic and international travel arrangements, prepare expense reports in Concur; process reimbursement requests; verify and reconcile credit card purchases; assist with preparation of grant-related materials. Review and reconcile monthly accounting statements for research projects and discretionary accounts; assist with complex calendar management; assist with academic appointments (domestic and international).

Job Requirements

REQUIRED: High school diplomavor equivalent and minimum of three years of administrative experience required; computer proficiency using Microsoft Office (Word, Excel, PowerPoint, FileMaker, and Outlook) ability to identify and learn new programs and software as needed; attention to detail and quality; excellent organizational and communication skills. Proven ability to interact with diverse groups of people, exercise good judgment, and demonstrate flexibility. Must be able to work both independently and as part of a team and multitask; ability to handle confidential information using discretion. PREFERRED: MIT experience; experience with SAP and Dropbox, and prior event planning experience. Job #24443-5

Schedule to be determined. Occasional night and weekend hours may be required.

This position is eligible for a hybrid work schedule dependent on performance and department business needs.
