Job Description

Financial Assistant 2, Mechanical Engineering, to provide financial and office support for general accounting in the Department of Mechanical Engineering. Verify credit card purchases on 30-40 cards and process procurement requisitions; reconcile over 500 accounts on a monthly basis; process accounts receivable and other billing/invoicing, adjustments and changes; support department staff with guidance on purchasing and other accounting procedures and documents; create and distribute class assignment letters; process monthly journal vouchers for billing of service center and visitor fee costs; assist in upkeep of the space, including overseeing the maintenance of office equipment, and setting up and maintaining common areas; exercise confidentiality of classified information based on office protocols; perform other administrative, financial, and clerical duties as necessary, including: maintain electronic files, distribute mail, and photocopy.

Job Requirements

High school diploma or equivalent and minimum of 3 years' experience in accounting or finance; full working knowledge of general office practices and procedures; excellent interpersonal and communication skills and the ability to work effectively with people at all levels; excellent organizational and word processing skills, including ability to handle multiple tasks simultaneously; attention to detail; excellent time management skills; ability to work independently as well as part of a team; ability to prioritize and problem solve; experience with paying invoices, ordering supplies, account reconciliations and expense reimbursements; ability to maintain confidentiality; and advanced computer software skills including proficiency in Microsoft Excel and Microsoft Word.
