Job Description

ADMINISTRATIVE ASSISTANT II, Mechanical Engineering, to perform complex and diverse clerical and administrative duties in support of one faculty member and their lab (50%) and the Ibn Khaldun Fellowship for Saudi Arabian Women (IBK) program (50%).  Will compose and edit correspondence and documents and assist with preparation of presentations, reports, etc.; monitor and order supplies and equipment; process journal vouchers, requisitions, purchase orders, requests for payment, and invoices; schedule meetings; make domestic and international travel arrangements and process travel reimbursements; manage lab appointments; serve as point of contact for fellows and fellowship inquiries; maintain the ibk.mit.edu website; support the preparation of fellowship promotional materials and social media; support the fellowship application process and fellowship event planning; and deal with confidential issues using discretion and judgment.  

Job Requirements

REQUIRED:  high school diploma or its equivalent; at least three years of administrative, office, or related experience; excellent, organizational, interpersonal, writing, and communication skills; cultural sensitivity and interest in working with Muslim cultures; comfort with low paper/electronic filing systems; experience with arranging travel and expense reimbursements, paying invoices, ordering supplies, and reconciling accounts; and advanced-level knowledge of Microsoft Office, knowledge of database applications (WordPress preferred), ability to conduct internet searches, and experience updating websites and with email communications and social media.  Must be able to work effectively with a diverse group of people at all levels and despite frequent interruptions, handle multiple tasks simultaneously, function independently and as part of a team, and work in both remote and in-person environments. PREFERRED:  bachelor’s degree and SAPweb and MIT experience.   Job #24322-5
