Posting Description

ADMINISTRATIVE ASSISTANT 2, Schwarzman College of Computing (SCC), to perform complex and diverse duties in support of the Office of the Dean in the SCC.  Will provide administrative support for multiple programs and projects.  Will support the planning, coordination, and execution of projects, events spaces, and building operations as assigned and coordinate these activities within the Dean’s Office and across the college broadly.  Activities include calendar support and meeting scheduling, maintaining financial records and monthly financial review and control, acting as a receptionist, screening phone calls and visitors, assisting with or responding to requests for information and reports, arranging group meetings and taking minutes, maintaining electronic and paper files, planning and coordinating high profile events and meetings, coordinating travel arrangements and maintaining supporting documentation, and performing other duties as assigned.  This is a “shared” position that will require proactive communication about priorities, the workload, and time management.

Job Requirements

REQUIRED:  high school diploma or its equivalent; at least three years of administrative, office, or related experience; excellent organizational, interpersonal, and communication skills; initiative; flexible approach to responsibilities; attention to detail; ability to work effectively with others at all levels, prioritize and handle multiple tasks simultaneously, problem solve, and work independently and as part of a team; proficiency with Microsoft Office, SAP, FileMaker Pro, and Cognos; comfort with both PCs and Macs; experience updating websites; experience arranging travel and expense reimbursements, paying invoices, ordering supplies, and reconciling accounts; discretion and judgment with confidential information; and ability to move objects weighing up to 20lbs.  PREFERRED:  bachelor’s degree.  Job #24314-5
