Job Description

ADMINISTRATIVE ASSISTANT II, Facilities-Repair and Maintenance (R&M), to provide administrative support and coordination for the R&M area.  Will perform a variety of administrative duties--under the direction of the assistant manager of R&M--for an assigned team and work collaboratively with peers to provide cross-functional support to other teams.  Primary responsibilities include reviewing and following up on work orders; updating the work order system; maintaining equipment records; producing reports and charts; reviewing available inventory for scheduled jobs; processing purchase order requisitions, requests for payment, and reimbursements; coordinating shutdown requests/notifications and communicating with the MIT community; responding to inquiries; composing, updating, and editing correspondence; designing presentations; assisting with new employee on-boarding; coordinating appointments, meetings, and trainings; attending meetings and recording, interpreting, drafting, and distributing minutes; and performing other duties as assigned.  

Job Requirements

REQUIRED:  high school diploma or its equivalent; at least three years of administrative, office, or related experience; an understanding of own role/work and ability to represent and recognize the needs of the unit and how those needs impact other areas at MIT; ability to work with interruptions and on more than one project at a time; excellent interpersonal and communication skills; attention to detail, thoroughness, and accuracy; self-motivation; ability to work in a team-oriented environment; advanced-level computer skills, specifically with MS Office; and ability to easily negotiate the internet and perform searches.  PREFERRED:  associate’s degree and familiarity with SAP.  Job #24122-5
