Posting Description

ADMINISTRATIVE ASSISTANT 2, Materials Research Laboratory (MRL), supporting the Director and the MRL staff, to provide comprehensive, diverse administrative and operational support in areas related to communications; recordkeeping; event planning; scheduling; travel; and general office operations support. Responsible for day-to-day operational support to all MRL headquarters’ staff; arranging domestic and international travel for the MRL Director, preparing expense reports; assisting with complex calendar management for MRL Director; responding to inquiries and resolving/referring issues as appropriate; composing and editing correspondence and other documents; processing UROP student payroll; processing purchases; handling e-mail lists; communicating, interpreting, and training others on departmental and MIT policies; coordinating large and small-scale events for domestic and international audiences including catering, room reservations, reimbursements, communications, advertising, registration, arranging AV, etc.; supporting the Communications Officer with event coordination and publicity; and other duties as assigned.

Job Requirements

REQUIRED: High school diploma or equivalent; a minimum of three years of administrative experience; computer proficiency using Microsoft Office (Word, Excel, PowerPoint, and Outlook) and willingness to learn new software programs as necessary; excellent interpersonal, organizational, analytical, and problem-solving skills; excellent writing, editing/proofreading skills; attention to detail; ability to interact with diverse groups and work independently and as part of a team; and ability to handle multiple tasks concurrently and deal with confidential information with discretion. PREFERRED: Knowledge of SAP and MIT experience. Job #24925-5
