Position Description:
Mathematica is looking for a temporary Office Coordinator in our Cambridge, MA office. Mathematica’s Cambridge office has over 40 employees and is expected to grow at a steady rate. Responsibilities of the Office Coordinator include: 

  • Assist the Facilities Manager with the handling of day-to-day administrative functions and other identified needs, e.g., meetings, scheduling and agenda preparation. Take the initiative to identify other areas where the individual may be of assistance to the Facility Manger.
  • Prepare correspondence, reports and forms covering a range of subjects and under a variety of circumstances. This may include composing, editing and proofreading correspondence. Perform diverse tasks requiring knowledge of division and corporate activities, policies, procedures and employees.
  • Coordinate administrative systems for the office demonstrating initiative, independent judgment and strategic vision in the application of departmental and company policy and procedures.
  • Serve as liaison and local point of contact with corporate and department staff, e.g., Information Technology Services, Facilities, Purchasing, Accounting, Human Resources (HR), operating divisions, etc.
  • Responsible for ordering and restocking office supplies and other miscellaneous items.
  • Share reception duties, receive visitors, answer telephones and manage inquiries involving high level contacts both internal and external, distribute mail and other deliveries.
  • Maintain WorkPlace space management system, update office space utilization data, card access and relocation information regularly and submit monthly report to WorkPlace manager.
  • Responsible for the physical condition, operation and use of all facilities including the appearance and efficiency of copy and mail areas.
  • Participate in planning office expansions and serve as liaison between corporate Facilities and local contractors/vendors for expansion related activities.

Position Requirements:

  • Perferrably coursework in business management and a minimum 1-3 years of work experience performing office administration functions.
  • A combination of equivalent education and/or work experience may be substituted for the above requirements.
  • Proficiency with Microsoft Office software, including spreadsheet and database applications.
  • Accuracy with work, strong organizational skills, and attention to detail.
  • Experience with some or all - accounting, facilities support, basic PC support, travel arrangements, events planning, ordering supplies, and office management functions.
  • Demonstrated ability to be forward thinking and independent in identifying and addressing office needs.
  • Excellent written and verbal communication skills.
  • Flexibility to handle multiple priorities, sometimes simultaneously, under deadline pressure.
  • Ability to work independently for long periods of time as well as work in a team.

Available locations: Cambridge, MA

This position offers an anticipated rate of $16-25 an hour

This position is categorized as “on-call,” and as such, the hours may vary and there may be times when work is not available. Other times, work may be available up to 40 hours per week. Your employment will be classified as “on-call” until the duration of the project(s) or need(s) is complete.

Typical schedule: Monday-Friday 8am-5pm
