Mathematica is currently seeking a Facilities Coordinator for our Washington, DC location to join our Administrative Services Team. Duties will involve carrying out all mail center and occasional facilities responsibilities under supervision.

Key Responsibilities inlcude: 

  • Provides support and services related to USPS mail and express deliveries, i.e., pick-up, logging, sorting, distribution, processing, and billing

  • Tracks usage on a daily and monthly basis to ensure accountability and accuracy

  • Provides information to staff concerning delivery options and makes cost comparisons using Pitney-Bowes Mailing Systems computer

  • Runs monthly billing reports to submit to Accounting

  • Keeps Mail Center organized and neat

  • Maintains mail equipment in proper working order

  • Stocks and orders Mail Center supplies as needed

  • Conference room furniture reconfiguration and assisting with supplies needed for set-up, i.e., easels, markers and etc

  • Replenishment of kitchen/pantry and coffee supplies

  • Responsible for ordering coffee supplies

  • Maintain database for on/off site storage

  • Responsible for assembling/disassembling of workstations

  • Federal Express/UPS shipping and invoice processing

  • Responsible for making nameplates for new hires

  • Responsible for contacting coffee vendor for repairs and/or maintenance

  • Responsible for updating mailbox slot spreadsheet

  • Responsible for making sure Shelter in Place locations have current supplies in place

  • Act as safety coordinator during Fire Drills

  • Provide assistance as needed with facilities related tasks

  • Responsible for refilling hand sanitizing stands

  • Walkthroughs of conference rooms and vacant offices

  • Back-up facilities tour for new hire orientation

  • Back-up for office cleaning when new hires onboard/offboard

  • Responsible for contacting staff when packages come in via email

Position Requirements:

Position Requirements:

  • High school diploma

  • Minimum 3 years of work experience in a similar environment

  • A combination of equivalent education and work experience may be substituted for the above requirements.

Knowledge, Skills, and Abilities:

  • Possesses an eye for detail

  • Able to apply basic mathematical knowledge to process accurate billing records and manage Business Reply mail account.

  • Comfortable with general office equipment operation and maintenance, i.e., computer based Pitney-Bowes Mailing Systems and Federal Express Powership equipment

  • Able to manage an unpredictable workload and prioritize appropriately

  • Able to stand for extended periods and lift up to 70 pounds using hand trucks and dollies

  • Able to type proficiently

  • Able to use hand trucks and dollies to move furniture and equipment

  • Accurate with work, strong organizational skill, and attention to detail

  • Excellent verbal communication skills

  • Able to deal tactfully and diplomatically with others

  • Flexible in handling multiple priorities, sometimes simultaneously, under deadline pressure

  • Able to work independently for long periods of time

Preferred Qualifications:

  • Enhanced computer knowledge, i.e., Pitney-Bowes Mailing Systems, Federal Express Powership, and personal computing

  • Knowledge of USPS and Federal Express pricing structures and services.

Various federal agencies with whom we contract require that staff successfully undergo a background investigation or security clearance as a condition of working on the project. If you are assigned to such a project, you will be required to obtain the requisite security clearance.

Available location: Washington, DC

This position offers an anticipated annual base salary range of $42,000-$50,000. This position may be eligible for a discretionary bonus based on company and individual performance.
