Primary Purpose

Provide administrative support for the regional engineering department.  Primary responsibilities include execution of purchase orders to vendors and contractors, updating accounting systems with project manager input, ensuring contractor compliance with Safety and Contract database(ISN).  Provide direct support in a variety of functional areas to Project Managers and Engineers in completing capital projects

Job Responsibilities:

  • Provide overall administrative support for engineering department to include:  correspondence; creating and maintaining files; maintaining and ordering office supplies and equipment; tracking department hours through timesheets; scheduling meetings; and compiling and distribution of meeting minutes.
  • Administer Smart Office.  Smart Office duties include, requisitioning for engineering department, contract personnel, and capital project purchases.  Training new Lawson users in requisition generation and reporting. 
  • Administer ISN.  Work with procurement, project managers, and contractors to ensure compliance in ISN
  • Organize and maintain files, both electronic and paper.
  • Create/Submit/Track all requisitions for the entire Midwest Region Engineering Department;  Follow up on work directives, invoices, and Activity Estimate Forms as they make their way through their respective processes.
  • Run Project Reports from Lawson and distribute on a regular basis, and as requested from PMs and Eng Manager.
  • Receive and organize files as distributed from PMs and Engineering Manager
  • Purchase equipment and materials using P-Card as required by PMs
  • Work with Contractors and PMs on RFPs for multiple bids
  • Maintain files and status on Customer Inquiries and Estimates
  • Assist project managers in providing deliverables (cost estimates, project scopes, project schedules, designs, budgets, forecasts, etc.)
  • Work with Project Managers to closeout projects and ensure proper filing of documentation.  This includes correspondence with contractors, vendors, inspectors to acquire documentation.
  • Provide general administrative assistance as required by PMs and Engineering Manager
  • Assist in capital budget preparation, running reports out of galahad, organizing spreadsheets, searching previous files for estimate information.
  • Assist in PHMSA or other regulatory inspection, searching files, creating and maintaining tracking spreadsheets.
  • Develop final presentations of various subjects based on input and collaboration from project managers, utilizing MS Word, MS Excel, and MS Powerpoint



Education

  HS diploma or equivalent

  • Bachelor’s Degree Preferred

Experience, Specific Knowledge, Certification, Licenses

  •  3 - 5 years of experience in a similar position.
  • Must have strong computer skills, including, but not limited to MS Office, MS Excel, MS Outlook, MS Database, MS Powerpoint
  • Must have strong business math skills.
  • Experience in project management and/or accounting desired but not necessary.

Working Conditions

  • Office.  Potential travel to other terminals in the region (rare or as the admin sees fit or requires)
  • May be required to work additional hours in fulfillment of duties and to meet terminal needs.
Compensation
  • $51,000 - $71,400
  • Job level and pay commensurate with experience and skill set.
