SUMMARY:

This role assists with financial operations and reporting in Global Strategic Outsourcing Department. Responsibilities include supporting the Associate Director with contract administration, budget estimates, payment processing and reporting to facilitate the outsourcing strategies and activities of the Research & Development Organization.  This role also requires the ability to obtain appropriate information to administer contracts and payments for outsourced agreements and communicates regularly to internal and external stakeholders on status of contracts and payment requests.



ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Review, enter and maintain database of contract and agreement requests.
• Track and facilitate timely progress of Outsourcing contract execution.
• Generate Purchase Order requests and facilitate Purchase Order approvals.
• Open, maintain and close Purchase Orders.
• Responsible for maintaining and archiving all contract/agreement documents.
• Manage invoice data in accounting system and agreement trackers for accurate reporting and analysis.
• Review payment requests for contract compliance, completeness and reasonability.
• Complete payment request approval process obtaining appropriate approval.
• Respond to queries from vendors and stakeholders regarding Outsourcing managed agreements.
• Prepare status reports for invoices, purchase orders and contracts/agreements.
• Complete agreement reconciliation summary.
• Perform general analysis on Outsourced managed agreements.
• Perform general and ad hoc support as required.

EDUCATION/EXPERIENCE/SKILLS:  

Education:
• BS/BA degree in related discipline and three years of related experience; or,
• MS/MA degree in related discipline and one year of related experience.
• May require certification in assigned area.

Experience:
• Typically requires a minimum of three years of relevant experience and/or combination of experience and education/training, preferably in the Life Sciences industry.

Knowledge/Skills/Abilities:
• Organizes and prioritizes numerous tasks and completes them under time constraints.
• Frequently applies technical standards, principles, theories, concepts and techniques.
• Resolves a wide range of issues in creative ways.
• Applies strong analytical and business communication skills.
• Ability to assess and summarize contractual documents identifying cost drivers and key aspects
• Ability to interact with multiple levels of personnel internally and externally
• Ability to deal effectively with ongoing evolving project needs.
• Proficient in Microsoft Word, Excel and Access.

SUPERVISORY RESPONSIBILITIES:

• None

• Works on multiple problems of diverse scope where analysis of data requires evaluation of identifiable factors.
• Demonstrates good judgment in selecting methods and techniques for obtaining solutions.
