Position Summary:
The Office Specialist assists in surgical schedule administration, and departmental and interdepartmental communications. Facilitates communication and serves as liaison for the SurgiCenter with all departments. Performs clerical duties of the control desk and coordinates day-to-day operations of the office including, but not limited to, supplies, order entry, scheduling of surgeries and communications. Serves as a support/resource person for the director and other personnel.

Qualifications:
SKILLS AND KNOWLEDGE
Experience dealing with public/customers.
Experience in Microsoft office products.
Must have the ability to multi-task.
Knowledge of medical terminology.
Good telephone and communications skills.
Must be well organized and able to handle multiple projects simultaneously.
Must be able to work independently and able to anticipate needs before arising. Knowledge of basic office equipment.

Essential Functions:

  • Interprets and prioitizes cutomer service calls with outside agencies, physician offices, patients, and families and notifies the appropriate team member.
  • Registers patients upon admission; checks face sheet and MSP form as needed. Verify insurance and identification.
  • Interacts with patient accounts to ensure accurate billing.
  • Performs a variety of clerical duties in support of maintaining, compiling, auditing, and/or processing files.
  • Acts as timekeeper for KRONOS.
  • Assist with maintenance as directed by the director, including arranging for biohazard picup as needed, repair services, utilities, vendor services, etc.
  • Assists and directs visitors, vendors, medical students, reps, residents and healthcare students with appropriate check-in.
  • Responsible for scheduling patient appointments according to department guidelines. Communicates information to applicable parties accordingly.
  • Serves as a resource person to all staff for all office equipment and supplies.
