Job Description


The Administrator reports to the President of ARM Taiwan and covers a broad spectrum of functions, ranging from preparation of purchasing, managing office operations, answering phone calls, facilities maintain and being the front desk reception role. The Administrator is responsible for ensuring smooth operations within the organization while upholding the institution’s mission and vision and adhering to its set standards.  Work with ARM Taiwan team.  

Key Responsibilities



  • Receive and direct telephone calls and relay conversation and pertinent messages to others while maintaining accuracy, clarity and confidentiality.
  • Entertain and answer basic queries made by the clients pertaining to the services provided by the institution, its mission and vision and its rules and regulations.
  • Ensuring the comfort and seeing to the needs of the clients, visitors and people dropping by the institution.
  • Assess the various needs and purposes of the clients and direct them to the proper sources in order to address their concerns.
  • Receive, obtain and store pertinent client information and ensure validity, completeness, accuracy and confidentiality of these records.
  • Tracks office supply inventory and orders additional supplies as needed.
  • Ensure the proper filing of pertinent documents.
  • Function as the receiver of official documents and important mail addressed to the office.
  • Responsible for maintaining facility records and make sure they are securely intact in an accurate manner and in accordance with the policies and regulatory requirements of the administrative department.
  • Maintain an effective medium of communication and close collaboration among the workers in the organization.
  • Assist cross region’s employees Taiwan VISA application.
  • Assist organized a variety of corporate activities.
  • Business card data base maintenance.
  • IMP, BCP plan maintenance
  • Maintain newspaper and magazine subscription
  • Team ARM activities logistics and reporter
  • Induction to new employees regarding facilities and environment.
  • Conduct the internal meetings logistics such as TEAM ARM/Year End party/Team Building, etc.
  • Parking lot management
  • Security badge management
  • Conduct the contracts of the travel/office building/equipment rental
  • Gym equipment maintenance.
  • Other’s request by line manager.

  • 2-5 years or more related experience
  • Preferred: Associates Degree or Higher, Major in Secretarial Science is a plus.

  • Highly organized and flexible
  • Ability to multitask and meet changing deadlines
  • Working knowledge of email, scheduling, spreadsheets and presentation software (such as Microsoft Office, etc.)
